Albin, Randall & Bennett (ARB) is a CPA firm located in downtown Portland’s Old Port and has consistently been voted Best Places to Work for 6 years. ARB is seeking a full time Accounting Administrative Specialist. Due to the unique nature of this business, this job has an annual cyclical calendar of responsibilities; therefore, candidates should be looking for long term employment in order to fulfill all requirements. We need an energetic individual who is sensitive to important deadlines,  accustomed to working in a goal-oriented environment, and able to work as part of a team and independently. The ideal candidate must be professional, highly flexible, reliable, and must exhibit a high degree of accuracy and quality in the tasks assigned. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint and the tenacity to master additional software programs is essential. Experience using Adobe is a plus!

Primary Responsibilities:

  • Welcome guests and answer/field incoming calls
  • Retrieve mail from the post office and sort/deliver daily
  • Distribute/procure hand deliveries to/from local clients
  • Scan client documents, edit in Adobe, and manage electronic files
  • Order office supplies and coordinate office equipment repairs
  • Edit, prepare, and mail monthly invoices and statements
  • Schedule meetings and manage conference room calendars
  • Plan corporate events
  • Provide administrative support as an active member of ARB’s Recruiting Committee
  • Assist ARB’s management team on projects, as needed
  • Errands for the office, as needed
  • Other duties as work progresses

Requirements:

  • Prior professional office administrative assistant experience highly desired
  • Ability to work with confidential materials and maintain the highest level of discretion
  • Must be highly proficient with MS Office Suite
  • Ability to follow directions, ask questions, and be open to change and willing to learn
  • Ability to operate copier/scanner/fax, computer, printer, and multi-line phone system
  • Effective interpersonal and communication skills and the ability to interface with personnel at all levels, both verbally and in writing
  • Capable of maintaining focus and precise attention to detail while seamlessly multi-tasking
  • Personal vehicle and valid driver’s license
